Refund Policy

This Refund Policy explains when you are entitled to a refund for a Convoup subscription. It supplements Section 5 of our Terms of Service, which continues to govern billing generally.

1. 14-Day Money-Back Guarantee

If you are on a new paid subscription and cancel within 14 calendar days of your first payment for that subscription, you are entitled to a full refund of the amount charged. This applies once per organisation, to your first paid subscription only — it does not reset on plan upgrades, downgrades, or renewals.

2. After the 14-Day Window

Once the 14-day window has passed, subscription fees are non-refundable for the remainder of the current billing period. You may cancel at any time to stop future renewals; cancellation takes effect at the end of your current billing period and you retain access until then.

3. Usage-Based and Pass-Through Charges

WhatsApp conversation fees charged by Meta and passed through via the Service, and any add-on usage charges (e.g. additional message credits, phone number registration fees), are non-refundable once incurred, as these reflect costs already paid to third parties on your behalf.

4. Refunds for Service Discontinuation

If we discontinue the Service or a paid feature you rely on with less than 30 days’ notice, we will provide a pro-rata refund for the unused portion of your current billing period, regardless of the 14-day window.

5. Refunds for Account Termination by Us

If we suspend or terminate your account for breach of our Terms of Service or Acceptable Use policy, no refund is due for the current or any prior billing period.

6. How to Request a Refund

To request a refund, contact support with your account email and the invoice or payment reference. Eligible refunds are processed to the original payment method within 7–10 business days of approval.

7. Chargebacks

If you initiate a chargeback or payment dispute with your bank or card issuer without first contacting us, we reserve the right to suspend your account while the dispute is resolved. We encourage you to reach out to support first — most billing issues can be resolved faster that way.
